Your staff runs the count. Your controller or independently engaged CPA sets the oversight. PartsCount Pro helps separate counting from review—with blind entry, targeted recounts and a record of key decisions.
Bring your own CPA. Software access does not include CPA services or an audit opinion.
OBJECTIVITY IS A PROCESS, NOT A PROMISE
Count first. Challenge the differences.
A self-run count is still a staff count. These controls reduce bias and make review more traceable; they do not make staff independent or prove every quantity is correct.
Blind counts reduce anchoring
Counters see the part description and enter what is on the shelf—not what the system expects. That reduces the temptation to copy on-hand quantities instead of counting.
Reviewer focus: observe sample counts and compare physical stock with recorded lines.
Recounts challenge exceptions
Managers review dollar variances and assign targeted recounts to a different counter. Matching quantities help corroborate a result; remaining mismatches need investigation, not an unexplained override.
Reviewer focus: inspect recount results and the reasons for unresolved differences.
Logged decisions add accountability
The audit log records actions such as recount assignments, variance resolutions, overrides, exports and sign-off. Staff can filter by action, user and date to review who did what and when.
Reviewer focus: trace selected adjustments back to the review and supporting count evidence.
CLEAR RESPONSIBILITIES
Your team counts. Your reviewer challenges.
Agree the scope and review procedures before count day. The CPA decides whether the evidence meets their engagement requirements.
Agree thresholds, observe sample checks, challenge exceptions and reconcile count adjustments to the financial records. Review shared evidence with authorized dealership staff; there is no dedicated CPA or read-only account role.
Dealership admin
Review unresolved items before approval, enter the typed sign-off and close the event. That closes the count in the app—it is not a CPA certification.
A review file, not just a final number.
Keep the original snapshot, cut-off evidence, movement log, variance review, recount results and relevant audit entries together. Retain available adjustment exports, reports and the dealership sign-off; then reconcile what was actually posted to the DMS and ledger.
Choose the right plan. Free provides blind counting and a basic variance report. Targeted recounts, DMS adjustment exports and PDF reports require Pro or Per Count. CPA services are arranged separately.
